How Timeless fits into your delivery workflow.
Reference material for producers, post supervisors, delivery teams, and studio operations rolling Timeless into an active title.
Getting started
Open a title, add a distributor delivery spec (PDF or spreadsheet), and Timeless helps generate a first readiness scan: missing items, blocked items, and suggested next actions.
- Create a workspace and add your team.
- Open a title and add the distributor spec.
- Review the parsed checklist and confirm scope.
- Run the first readiness scan.
Delivery specs
Timeless is built to turn distributor and destination specs into structured, versioned checklists. Requirements — video, audio, captions, metadata, artwork, legal — become tracked deliverables, each with its own state.
- Common inputs: PDF, XLSX, CSV, plain text.
- Versioning: spec revisions are kept as you add them.
- Review: Timeless flags likely conflicts for a human to confirm.
Vendors & approvals
Track post houses, mix stages, colorists, subtitle vendors, and internal approvers per deliverable. Approvals are recorded with a user and timestamp so the team can see where each item stands.
- Assign a vendor and owner to every deliverable.
- Organize approval chains per asset type.
- Surface blocked approvals so they don't get lost.
Rights & QC
Keep releases, music cue sheets, E&O insurance, chain of title, and QC reports in one place. Timeless helps surface missing signatures and flagged QC items so they're caught earlier.
- Keep QC reports attached to the relevant deliverable.
- Track rights documents with expiry and territory.
- Flag cue-sheet gaps for a human to reconcile.
Packet builder
Assemble a delivery packet with a manifest and an activity trail. Timeless helps confirm each required item is present and approved before you mark the packet ready.
- Generate a manifest against the active spec.
- Review present / missing / pending items in one view.
- Export packet metadata for the destination.
Security
Timeless uses per-workspace data isolation and role-based access controls, designed to keep each team's material separate. Security hardening continues through the pilot.
- Per-workspace data isolation.
- Roles: owner, producer, coordinator, vendor, viewer.
- Access scoped to a team's own workspace.
Activity trail
State changes, uploads, approvals, and hand-offs are recorded with a user and timestamp, so the team can see who did what and when when questions come up later.
- Recorded per deliverable.
- Filter by user, deliverable, or date range.
- Review the history in-app.
